 Job Description:


We are currently seeking a highly organized and detail oriented individual to join our school as a Purchasing Assistant. As a Purchasing Assistant, you will play a key role in supporting our Purchasing Department in acquiring, purchasing and maintaining inventory of goods and services required for our operations. Your responsibilities will include conducting market research, identifying suppliers, negotiating prices and ensuring timely delivery of goods. You will work closely with the Purchasing Manager and other team members to streamline purchasing processes and optimize costs.


Responsibilities:


- Assist in suppliers, conducting market research and evaluating potential vendors


- Work with the Purchasing Manager to create and manage a database of approved suppliers


- Assistance in negotiating prices, contracts and payment terms with suppliers


- Prepare purchase orders and ensure accuracy of order details, quantities and delivery dates


- Track and monitor order status, ensure timely delivery of goods


- Coordinate with internal stakeholders to understand their procurement requirements and provide necessary support


- Maintain accurate records of transactions, including, receipts and other relevant documentation


- Assist in resolving any issues or discrepancies with suppliers regarding the quality, quantity or delivery of goods


- Monitor inventory status and coordinate with warehouse team to ensure stock availability


- Continuously review and improve procurement processes to increase efficiency and reduce costs


- Stay informed on industry trends, market conditions and new procurement product developments


Requirements:


- Bachelor's degree in business administration, supply chain management or related field (preferred)


- Proven experience in a similar position, preferably in the purchasing or purchasing department


- Strong analytical and research skills to identify potential suppliers and evaluate their bids


- Excellent negotiation and communication skills, with the ability to build and maintain positive relationships with suppliers


- Proficient in the use of procurement software or tools and knowledge of Enterprise Resource Planning (ERP) systems.


- Strong organizational and time management skills


- Ability to work independently and as part of a team, with a proactive approach to problem solving


- Knowledge of relevant legal and regulatory requirements related to procurement processes


- Knowledge of Microsoft Office Suite (Excel, Word, PowerPoint) for data analysis and report creation
